Events Specialist

The firm is seeking an Events Specialist to join our Knowledge Management and Business Development department. The ideal candidate will have significant event planning experience in a corporate environment, and will be a highly organized, results-oriented self-starter with a strong client service mentality and an extremely high attention to detail. Reporting to the Marketing and Business Development Manager, the individual will be primarily responsible for coordinating marketing and business development initiatives including client-facing and internal events.

Accountabilities:

  • Lead the planning and execution of client seminars, workshops, special events and professional development conferences
  • Coordinate all logistical aspects of events including venue sourcing, contract negotiations and approvals, A/V requirements, catering, rentals and staff arrangements/menu selection, budget analysis, prepare event materials, oversee online registration, venue set up, onsite check-in and vendor management, conduct and analyze post-event reporting and metrics
  • Ability to liaise directly with lawyers and stakeholders at all levels within the firm, Business Development team colleagues, and Knowledge Management professionals
  • Coordinate event collateral with presenters, Knowledge Management professionals, graphic designer and printers
  • Provide copy for and proofread e-communications, mailings and website content
  • Oversee the department’s annual marketing calendar, including the firm’s events schedule
  • Share industry best practices and trends, make recommendations for tools and processes, and strategize for optimal efficiency and effectiveness
  • Monitor and fulfill requests for assistance or triage the request to the appropriate member of the Business Development team
  • Reconcile the department’s accounts payable and process invoices
  • Provide additional back up support and administrative duties as required

Basic Qualifications:

  • 3-5 years experience in a professional services environment. Previous law firm experience is an asset
  • Strong background in events management
  • Advanced knowledge of MS Excel, Word, Outlook, PowerPoint and Survey Monkey
  • Experience working with Photoshop, InDesign, Illustrator, Lexis Nexis Interaction CRM System, Vuture, and Basecamp or other team project management tool an asset
  • Excellent verbal and written communication skills
  • Flexibility to work overtime and travel to attend onsite meetings as required
  • A university degree or college diploma in Marketing, Communications and/or Event Planning
