The Opportunity

In this role, you will support the reception desk in the dedicated client space at Hicks Morley.  Providing a professional and welcoming environment while delivering exceptional support to both internal and external clients.  As the first point of contact your efficiency and excellent communication skills provide a positive first impression.

Responsibilities

Reception

  • First point of contact for visitors and firm members. Visitors may include clients, potential new hires, students and firm event attendees for conferences or workshops. Ensure all visitors are provided with refreshments and technical support as needed and guiding visitors to appropriate meeting rooms.
  • Ensure firm members are alerted that their visitor/s is on site.
  • Ensure inbound calls are answered promptly. Guidance will be provided for prospective client calls and the related procedure.
  • Open and close the reception area daily to ensure the space is welcoming and  visitor-ready at all times.

Catering/Facilities

  • Organize refreshments for visitor meetings which could range from hot and cold beverages only, to light breakfast or lunch.  Liaising with firm approved vendors on food selection. There are five boardrooms and a conference space which require room set up and technical support – guidance will be provided on standard set up.
  • Ensure Nespresso Machines and related supplies within the boardrooms are stocked appropriately.
  • There are six serveries across three floors of the firm.  Responsible for distributing and stocking kitchen supplies to each servery including coffee, tea, milk, cream, paper towel, sugar, soap, dish washer tablets, etc.

Other

  • Assist with other projects and administrative duties which could include clerical tasks (for which training would be provided ) which can be executed from the reception desk.
  • The reception position continues to evolve and there may be opportunities for other tasks to be added to the role.

Minimum Requirements

  • Experience in a similar receptionist or in person client facing role.
  •  Strong customer service skills.
  • Strong MS Word skills including calendar management.
  • Ability to work well with others.
  • Thorough and good attention to detail.
  • Clear and concise written and verbal communication skills.
  • Demonstrated ability to work independently and recognize when to consult colleagues and/or support resources when appropriate. 
  • Flexibility to work overtime based on business needs of the firm.
